Job Summary:

The Project Logistics Coordinator at RTDS Technologies Inc. is responsible for managing in-coming and out-going project shipments including all necessary order processing and shipping documentation, as well as after-sales support including exchange hardware, RMAs and after-sales accessory requests.  This position works closely with Project leaders, internal production operations and external customers.

 

Key Responsibilities:

  • Responsible for entire project shipping process including all necessary documentation:
    PO Processing and Contracts, Work Order creation, Letter of credit documentation including AWB and insurance certificates, Export declarations, Acceptance certificates, Shipping documents etc.
  • Create & manage projects in ERP system & marketing directories
  • Responsible for preparation of Final shipment checks –ensure timely & accurate receipt of shipments with clients
  • Maintain internal company documentation
  • Work with external freight forwarding companies and communicate with clients/customers to determine details of shipment requirements
  • Correspond with customs brokers and suppliers to resolve any cross-border issues
  • Coordination of courier and necessary shipping and customs documentation for product shipments sent for marketing conferences, trade shows etc.
  • Coordination of loaner and representative hardware shipments
  • Reconciliation of items in hardware exchange programs
  • Coordination of the RMA tracking process. Ensure timely completion of RMA repairs/replacements through coordination of the technicians and production team
  • Shipping documents including Commercial and Proforma Invoices, Packing lists, AWB’s and CERS
  • Other duties as assigned by Production Manager

 

Qualifications

  • Business administration diploma or similar education/experience
  • Minimum 3-5 years prior experience with international logistics, outbound and reverse logistics
  • Experience working with international freight forwarding companies and customs brokers
  • Experience with import/export regulations, INCOTERMS, and customs documentation
  • Knowledgeable in Letter of Credit processing, including AWB and insurance certificates
  • Experience with ERP systems (SAGE/SAP)
  • Ability to effectively prioritize tasks and adapt to changing demands and priorities
  • Organized and methodical approach to duties
  • Well-developed verbal and written communication skills
  • Detail-oriented and disciplined professional
