Job Summary:
We are seeking an Administrative Support Specialist for our Spectro Scientific business to manage service, order processing, and sales activities. This role involves handling customer requests via Salesforce and email, processing return authorizations and quotes, coordinating payments, and ensuring accurate order fulfillment while maintaining strong customer engagement. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment.
Essential Duties & Responsibilities:
- Support administrative duties for service, order, and sales for both Petro and Spectro Business Units.
- Monitor the customer support email inboxes and SalesForce continually for new service requests, return authorizations, completed service cases, create tech support and service cases, and route emails as appropriate.
- Create new salesforce ticket (case) and/or Return Authorization (RA, RGA) for each inbound request within 4 hours of being received.
- Create in SalesForce and CRM then issue RGA’s and/or RGA quotes to customers, track requests, responses, statuses, and revisions per RGA tracking processes.
- Quote and process standard services, parts, and consumables, manage customer engagement by following up that quote was received and met needs.
- Work with customers via mailboxes to issue payment requests, and process payments through credit card system or Purchase Orders; review purchase orders; resolve any discrepancies or incomplete information to process orders and ship product.
- Liaise between internal teams and customers; process and track all orders for the Sales, Finance, Service, and support teams.
- Lookup, update, and/or enter customer assets and information into salesforce upon shipment notification.
- Enter or renew Support and Service contracts / extended warranties, software license renewals, and proactively engage with customers when possible, to promote service contracts, support contracts, and extended warranties.
- Work with finance and shipping as needed to facilitate order fulfillment, case, and/or RGA completion.
- Assist and/or back up other administrators as needed.

Qualifications & Requirements:
- 2+ years in administrator role
- Passionate about Customer Service / Service oriented
- A positive attitude, exceptional work ethic, and a willingness to learn new skills
- Excels in a fast-paced environment
- Able to work independently with little supervision
- Strong verbal and written English communication skills
- Strong attention to detail and good organization skills
- Must be able to interact with all company departments
- Excellent computer skills including using MS Office required
- Focused, positive, reliable and a team player
- Salesforce.com experience a plus
