Job Summary:
The Document Control Specialist is responsible for managing the lifecycle of technical documentation, BOMs, schematics and ECOs, ensuring compliance with ISO 9001 standards.
Key responsibilities include processing ECOs in ARAS, updating Oracle database, processing and controlling the storage of Quality records which includes change requests, procedures, specification protocols, reports, drawings, electronic and hardcopy archives.
Key Responsibilities:
- Manage the ECO process:
- Implement and oversee the ECO change control process for new, revised, and obsolete documents.
- Check engineering documents and design drawing packages for completeness. This may include 2D/3D drawings.
- Maintain metrics, monitor status of ECOs on a monthly basis.
- Run CRB (Change Review Board) ECO review meeting.
- Release documents (move the files to a secure location).
- Similarly, manage data entry and release of MCOs (Manufacturing Change Orders), FAs (First Articles), ESRs (Engineering Service Requests) and temporary engineering changes.
- Understand the requirements of ITAR documentation and maintain restricted access to paper and electronic documents control systems when applicable.
- Manage document archives and offsite storage (i.e. scanning, imaging system). This will include organization, archival and storage, and retrieval.
- Organize and provide documentation requested for review during audits and inspections by government agencies.
- Communicate effectively, verbally and in writing, both interdepartmentally and with external contract organizations. Maintain ECO alignment and synchronization across divisions as necessary.
- Oversee, coordinate and conduct the creation, implementation and training of engineering documentation procedures and change orders.
- Play a critical role in proper documentation practices to ensure regulatory compliance.
- Process Data entry of BOMs into ERP per approved ECOs. This may include the use of automation tools such as BOM Wizard or other tools that help to optimize the process.
- Use Silicon Expert tool to assist engineers with identifying obsolete parts in existing and new design BOMs.
- Create BOMs using respective BOM creator tool for various product lines.
Minimum Qualifications:
- High school diploma required; a bachelor’s degree in business administration or related field is preferred.
- 5+ years documentation control related experience in a technical/ manufacturing organization, drafting experience a plus.
- Due to the nature of our programs and products, applicants must have the legal right to work in the U.S. and additionally must be legally authorized to access export-controlled information and source code.
Desired Qualifications:
- Knowledge of document control principles and procedures
- Understanding of Configuration Management
- Proficient in MS Office and simple PLM and database applications (Knowledge and experience in ARAS and Oracle a plus)
- Excellent organizational, problem solving, and communication skills
- Ability to multi-task in a fast-paced environment
- Must be detail oriented, self-starter and able to work with little supervision while maintaining goals/tasks
