Job overview:

We are seeking an accomplished, highly skilled, and proactive Executive Assistant to provide exceptional support to our VP/GM. This role requires someone who excels in intricate planning, overseeing complex logistics, has event planning instincts and expresses extremely strong written and oral communication skills.

 

Your overall impact:

  • Reduce the administrative burden on executives by performing core tasks including calendar, travel, expenses, and overseeing/supporting event coordination and meeting planning.
  • Lead and oversee event coordination, directly managing an Events Coordinator to support company wide in person meetings and large events
  • Travel to local meeting sites and personally direct activities at special functions; have responsibilities for coordinating major communication events.
  • Improve executive and team performance by making suggestions to improve processes, time management, prioritization, delegation and organization.
  • Act as the point of contact with internal/external stakeholders as an important ambassador of our company.
  • Create communication documents for internal and external use.
  • Partner with the VP/GM and other Division Staff to support special projects and requests and streamline weekly and monthly reporting.

Qualifications:

  • A minimum of 7-10 years of executive-level support experience, demonstrating mastery in managing complex responsibilities.
  • A minimum of 3 years event planning experience supporting large corporate events, board meetings, offsites, etc.
  • Exceptional organizational and time management skills, with a demonstrated ability to manage details meticulously.
  • High integrity with a strong respect for confidentiality and discretion.
  • Outstanding interpersonal communication skills across various mediums (in-person, email, Teams, and phone).
  • Autonomous and self-motivated, capable of executing tasks with minimal oversight.
  • Positive, proactive attitude with a passion for supporting executive leadership and contributing to organizational success.
  • Experience in a dynamic, fast-paced environment

 

Bonus points if you have:

  • Experience supporting a VP/GM of a public company
  • Expertise in event and meeting planning.
  • Proven experience supporting multiple executives, demonstrating flexibility and adaptability.
  • Familiarity with Concur or similar travel/expense management systems.

Compensation

Employee Type:  Hourly
Salary Minimum:  $70,000
Salary Maximum:  $85,000
Incentive:  No
