Job Description:
Reporting to the Director of Americas Sales, the Customer Service Specialist is responsible for administrative and operational support of the service operations team and coordination with CAMECA US, France, and worldwide subsidiaries, suppliers, and customers to ensure smooth and timely delivery of spare parts and consumable items.
Key Responsibilities:
- Ordering and receiving of parts from CAMECA France and US-based suppliers to support service operations
- Generate quotes for spare parts and services (in collaboration with the service operations manager as required) for customers and CAMECA subsidiaries
- Process, pick, package, and ship parts orders placed by customers, the field service team and CAMECA subsidiaries, ensuring payment and incoterms are consistent between quote and purchase order
- Process service contract orders, updating the service operations database accordingly and ensuring timely invoicing
- Provide shipment tracking information to the field service team and customers so that service interventions can be efficiently planned
- Process Return Material Authorizations (RMAs) to outside vendors on discontinued replacement products, maintaining a returns list
- Receive, inspect, and document all returned units
- Match RMAs, ensure transactions are correctly processed in the ERP system, and generate credits on returned units
- Move returned units to production or service goods area for repair/restocking
- Manage inventory levels based on parts movements and demand, identifying and resolving critical shortages
- Support inventory control recommendations on slow moving and/or obsolete inventory, stocking levels, storage and/or replenishment policies
- Perform cycle counts for assigned inventory duties and assist with discrepancy analysis
- Handle disputes related to orders and deliveries
- Other duties as assigned
Skills & Attributes:
- Advanced proficiency in Microsoft Office suite (Word, Excel, etc.)
- Practical knowledge of MRP-based manufacturing methods, techniques and best practices
- Must have the ability to think and act independently with minimal supervisor, demonstrating initiative as well as teamwork
- Strong analytical, interpersonal, communication skills and be able to interact effectively with a wide range of personalities
- Able to handle a large variety of tasks and prioritize according to priority
- Requires a high degree of accuracy and attention to detail
- Ability to work in a time-critical, customer facing environment
- Must be able to communicate effectively at all levels and functional areas of the organization
- Physically capable of lifting 30 lbs. occasionally and or up to 10 lbs. of force frequently
Education:
- Bachelor’s Degree in Business, Logistics, Supply Chain Management or a related field.
- 2 – 5 years’ experience in MRP based inventory environment.
- Technical background, a plus.
- Experience with domestic and international shipping, a plus.
- Experience with warehouse operations and best practices, a plus.
