Job Description: 

Job Purpose

To support the HR Team with a high-quality delivery of a range of HR services including general administration of HR Processes, recruitment and systems data management. The team currently consists of a Senior HR Manager and HR Generalist. This role is based in Leicester, United Kingdom.

 

Key Responsibilities

HR Administration

  • Maintain and update employee records, HR databases, and HRIS systems accurately.
  • Prepare HR documents such as contracts, letters, and onboarding packs.
  • Support HR audits, compliance checks, and reporting requirements.
  • Manage the HR inbox and respond to routine HR queries in a timely and professional manner.
  • Process changes to employee terms and conditions, ensuring accurate documentation and approvals.
  • Responsibility for processing right to work information and contracts in a timely manner.
  • Ensure all pre-employment referencing, DBS checks etc are managed through the HireRight system.
  • Any other administrative duties in line with role for example delivering the HR induction and supporting new employees.

 

Recruitment & Selection

  • Conduct pre-employment checks (right-to-work, references, DBS if applicable).
  • Prepare onboarding materials and support new starter inductions.
  • Setting up Requisitions for approval and progressing candidates through the system to completion and Hire.  Working to a KPI of 70 days for open requisitions.
  • Post job adverts on internal and external platforms.
  • Timely liaison with managers regarding the recruitment process.
  • Responsibility for organising interviews and co-ordination of assessments.
  • Liaison with recruitment agencies as necessary.
  • Potential attendance at Interviews where appropriate.

 
Employment Relations

  • Provide advice and guidance to all staff in relation to day to day HR queries.
  • Assist with minute-taking during informal HR meetings when required.
  • Support HR initiatives such as engagement surveys, health & wellbeing activities, and staff events.
  • Help maintain compliance with employment law and company policies.
  • Ensure employees are provided with the opportunity to complete an online exit interview prior to their leave date.

 

General Duties

  • Contribute to HR projects as directed.
  • Work closely with the team and provide support as needed.
  • Ensure both electronic and manual filing systems are kept up to date.
  • Be prepared to work flexible hours to meet the needs of the department.
  • Be able to work accurately under time pressures
  • Ability to work with people face to face and remotely over teams

 

Travel Requirements

Although this role is based in Leicester the HR team supports two sites: Leicester and Bognor Regis, West Sussex.

  • Regular travel will be required between these locations, typically bimonthly (every two months) or as business needs dictate.
  • Having a full UK driving licence would be a significant advantage.


Skills & Experience Required

Essential

  • Previous experience in an HR administrative/similar office role.
  • Strong organisational and time-management skills with high attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to handle confidential information discreetly.
  • Proficient in MS Office (Word, Excel, Outlook).

Desirable

  • Experience using HRIS/other HR database.
  • CIPD Level 3 (completed or working towards).
  • Understanding of UK employment legislation and HR best practice.
