Overview

The Commercial Administrator plays a pivotal role in supporting the business operations of the organisation, ensuring compliance with regulatory requirements and facilitating smooth commercial transactions. This position is responsible for managing administrative processes related to government end user checks and export licence applications, alongside routine commercial duties.

 

Main Responsibilities

  • Government End User Checks:
  • Conduct thorough due diligence on end users for all transactions involving government-regulated products.
  • Verify customer identities and intended use of products to ensure compliance with government regulations.
  • Maintain accurate records of end user checks for audit and reporting purposes.

 

Export Licence Applications:

Review, and submit export licence applications to relevant authorities.

Coordinate with internal teams to gather necessary documentation and information for licence applications.

Track application status and liaise with government agencies to resolve queries or issues.

Ensure all exports comply with national and international laws, including embargoes and sanctions.

Provide guidance to colleagues on compliance matters relating to export controls and end user checks.

 

Commercial Administration:

Order entry of purchase orders from different countries.

Issue order acceptances and pro-forma invoices in a timely manner.

Maintain databases and filing systems for all commercial documentation.

 

Required Skills and Qualifications

  • Strong organisational and administrative skills.
  • Excellent attention to detail and accuracy.
  • Familiarity with government regulations, export controls, and compliance procedures is desirable.
  • Experience with export licence application processes is desirable.
  • Ability to communicate effectively with internal teams and external stakeholders.
  • Proficiency in Microsoft Office and relevant business software.
  • Ability to handle confidential information responsibly.
  • Demonstrated ability and willingness to use AI tools to improve productivity, decision-making, work quality, and to reduce costs. The successful candidate must be able to identify appropriate AI use cases and critically evaluate AI-generated outputs.
