Position Description:
Precitech is a world leader in the design and manufacture of ultra precision machine tools. We presently have an opening for a Sales and Service Administrator, who will provide complex and confidential administrative support for the Sales, Service, and Operations functions of the business. This role serves as a critical link between the customer, field employees, and inside associates to facilitate the daily communication and administrative functions necessary in operating the business.

Position Duties:
• Provide Administrative support to the business as assigned, to include processing written and electronic correspondence, telephones, paper and electronic files, and facilitating internal and external communication.

• Prepare various written Sales and Service quotes, proposals and memos to customers.
• Enter sales orders for parts, service, machines, software and metrology product line.
Maintain accurate records of all sales orders and all related sales support documentation
• Provide database support for various sales administrative software packages to include: Visual, Team, and general customer contact information.
• Manage logistics of global customer visits/beverages/lunch coordination.
• Schedule and organize activities such as meetings, travel and department activities for customers.
• Schedule “kick-off” meetings for machine orders to resolve configurations questions.
• Administer all incoming customer goods for repair to include processing repair orders to final completion and shipment.
• Ensure all returns of warranty parts that have been recorded and shipped.

• Maintain machine shipments, installation and warranty tracking team database.

• Scanning and electronic files for all machine builds.

• Daily consolidating screening for all international shipments.

• Serve as a liaison with US Gov’t. agencies to help manage life cycle of export files i.e. application, monitor status, receipt of license and required documentation for file management.
• Prepare supplier information requests across a diverse customer base.
• Maintain daily visitor calendar.
• Provide backup to the shipping department as necessary.
• Perform other related duties as assigned.

 

Position Requirements:
• High school diploma and at least five years of related administrative experience, particularly in a manufacturing environment.
• Associates in Business or Technical Degree desirable.
• Prior experience in contract review and administration very helpful.
• Ability to read and interpret documents such as sales orders, RFQ’s.  
• Ability to perform general calculations and work with Excel spreadsheets.
• Excellent communication skills both in written and verbal format. Should be able to write and prepare general business correspondence.
• Computer skills to include experience in database management, as well as Microsoft Office Suite.
• Highly motivated with a desire to learn and grow.
• Accomplished in effectively interfacing with external customers globally.
• Ability to interface with all departments in the Company internally and at other locations, and to represent Sales in a highly professional manner.
• Multi-task oriented requiring continual attention to detail in composing, typing and proofing quotes and proposals, establishing priorities and meeting deadlines.

Employee Type:  Hourly
Salary Minimum:  $45,000
Salary Maximum:  $60,000
