Job Description: 

SUMMARY 

In this role, you will perform sales order processing and administrative work for the operation of the Inside Sales and Service Departments for Spectro Scientific and Petrolab Businesses. The ideal candidate will have strong attention to detail, an understanding of regulatory compliance, and the ability to work effectively with customers and internal teams

 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Enable sales by providing pre-sale support, including customer quotations and RFQs.
  • Interface with customers via email, phone, portals, and e-commerce platforms.
  • Act as a liaison between customers, reps, and internal teams to resolve order-related concerns.
  • Review and process purchase orders and contracts, escalating issues as needed.
  • Enter and manage orders in ERP (Navision) and CRM (Salesforce) systems.
  • Issue order acknowledgments and maintain clear records of order status.
  • Monitor aging POs and RAs for potential cancellation or de-booking.
  • Manage post-sales activities including revenue recognition, delivery updates, and returns.
  • Create and manage Return Authorizations (RAs) for repairs and warranty replacements.
  • Support Field Service by updating service dates and releasing invoices.
  • Ensure ISO-9001 and SOX compliance in all order processing activities.
  • Support export compliance, including ECCN code assessment and documentation.
  • Prepare certificates and obtain Chamber of Commerce stamps when required.
  • Maintain and update e-commerce content in coordination with Marketing and Product Management.
  • Document and improve processes for efficiency and accuracy.
  • Facilitate new customer setup and vet e-commerce registrations.

 

JOB REQUIREMENTS

  • Associate’s degree (A.A.) or equivalent from an accredited two-year college/university or technical school 
  • 1+ years of experience in post-sales support, order processing, or customer service
  • Excellent verbal and written communication skills, with the ability to interact professionally with customers and internal teams. 
  • Strong organizational and time management skills with attention to detail.
  • Demonstrated commitment to providing excellent customer service and resolving issues efficiently. 
  • Proficiency in Microsoft Office, including Word and Excel.
  • Experience with ERP or CRM systems is a plus.

Compensation

Employee Type:  Salaried
Salary Minimum:  $60,000
Salary Maximum:  $65,000
Incentive:  1289
