SUMMARY OF POSITION: 
The overall goal of the Customer Service Specialist is to manage all internal and external activities associated with existing products/or tasks related to new project development.  Customer Service is also the gatekeeper for all incoming sales orders and associated tasks, including receipt, payment reminder, entry, processing, and acceptance, daily shipment arrangement.  Customer Service monitors and communicates delivery schedules for all projects via customer status reports.  Customer Service initiates, routes, coordinates, and monitor’s all RGAs and customer complaints.  Customer Service is a support organization to the Production Manager, Plant Clerk, and Shipping on an as-needed basis.  Customer Service is responsible for providing accurate, proactive communications to internal as well as external customers.

ESSENTIAL FUNCTIONS:

•    Enter and process sales orders as they are received.  
把接收到的订单输入系统。
•    Provide customers with an order acknowledgment in time to confirm pricing and delivery.  
及时为客户提供订单确认,以确认价格和交期。
•    Provide copies of sales orders to the appropriate manufacturing, sales, project management, and Account Executive representatives.  
为相关的制造、销售、项目管理及客户代表们提供销售订单的副本。
•    Attend production meetings to ensure on-time delivery of orders. Alert the Production manager of major delivery problems or concerns.
参加生产会议确保订单能准时交货。提醒生产经理关于交期问题或其它担忧。
•    Coordinate delivery dates and provide weekly updates to customers via weekly status reports. 
协调交货日期,并通过每周状态报告向客户提供每周更新。
•    Fax, distribute and maintain files for all quotes, including pricing matrix for each customer on an as-needed basis. 
根据需要传真、分发和维护所有报价文件,包括每个客户的定价矩阵
•    Ensure that if a quote affects a current order, the customer is notified, and a revised PO is received before the quote is filed and the order is shipped.

•    Order any miscellaneous items required from the customer to fulfill the requirements of purchase orders.  Ensure timely delivery.  (i.e. labels, customer supplied materials)

•    Manage customer prints index.  Ensure customer prints are in-house for all incoming orders that are ordered by revision.  Work with customers to obtain the appropriate documentation, blueprints, or specifications required for an order.

•    Update Customer database as required.

•    Update Visual Manufacturing upon product launch to ensure appropriate items are input into the sales orders.

•    Track all customers’ Delivery and Quality scores on needed bases.
根据需要跟踪所有客户的交货期和质量得分。
•    Support production plan.

•    Create invoices and packing lists for daily shipments, collaborate with the production and warehouse team to confirm compliance with customer's shipping OTD requirements

•    Reconciliation with the customer and getting AR statement confirmation from the customer regularly, dealing with AR differences, and coordinating customers with the internal finance department. Regularly send payment reminders by mail/call methods to overdue customers.

•    According to the requirements of SOX audit, create invoices and packing lists, from Visyal and store relevant documents for each order
根据SOX审核的要求,开具系统发票和箱单,存放每个订单的相关资料
•    Collaborate with logistics team to confirm shipping information with customers in advance
与物流部门的同事合作,提前和客户确认相关的发货信息
•    A perfect attendance, can work overtime irregularly
能出全勤, 能适应不定时的加班


OCCASIONAL DUTIES:

•    Handle calls from customers concerning product complaints, sales order status and delivery dates.

•    Miscellaneous filing as required.

•    Ordering departmental supplies as required.

•    Open incoming drawings as required for all projects.

EXPERIENCE / EDUCATION:
经验 / 教育:
Diploma education or equivalent required. Secretarial or customer service training is preferred. Minimum 2 years of customer service or related experience in a manufacturing environment is required.
大学教育或相当。优先考虑有秘书或客户服务培训经验的。在制造行业有2年客户服务经验。
