Job Description:
The Legal Administrative Assistant will provide comprehensive support for ongoing legal work in our Corporate Law Department. He/she is expected to work independently as well as in a team environment and communicate effectively with all levels of management.
Responsibilities:
- Create, organize, and maintain confidential files of correspondence and transmittals, and file database
- Facilitate execution of contractual documents, including NDAs, consulting agreements, statements of work, purchasing T&Cs and various other company-standard agreements, including via DocuSign
- Maintain database of all intellectual property, generate reports, and coordinate patents and trademark filing with divisions and outside counsel
- Process invoices in e-billing system and maintain files regarding services provided by outside counsel
- Perform clerical duties including filing, photocopying, mailing, ordering office supplies, proofreading and database maintenance with great attention and detail
- Provide support and backup to activities of department paralegals
- Other duties may be assigned
Education/Experience Requirements and Preferences:
- High School Diploma/GED required
- Minimum of 2-4 years of relevant experience
- Paralegal Certificate preferred
- Notary Public certification
Other Required Skills and Abilities:
- Exceptional customer service skills
- Basic understanding of legal terminology and legal forms
- Basic familiarity with Internet and Internet research
- Advanced level proficiency with Microsoft Excel, PowerPoint, Word and Thomson Reuters® Legal Tracker
- Must be highly organized, articulate, team-oriented, and able to multitask
- Strong verbal and written communication skills
- Ability to read, analyze, and interpret general business periodicals, professional journals, corporate policies, or governmental regulations
- Ability to write reports and business correspondence and to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
- Demonstrated ability and willingness to use AI tools to improve productivity, decision-marking, work quality, and to reduce costs. The successful candidate must be able to identify appropriate AI use cases and critically evaluate AI-generated outputs
