Job Description: 

The Senior Sales and Service Coordinator is responsible for managing and executing a wide range of operational and customer service activities. This includes processing orders and coordinating with SOP and Finance teams, creating customer and part profiles in ERP, and preparing sales and service quotations. The role involves tracking production, coordinating shipments for INR orders, and managing inventory in collaboration with the Service Manager and Business Unit. The coordinator maintains online order sheets and trackers, verifies factory shipments, and ensures timely onward delivery to customers. Additional responsibilities include scheduling installations, handling backlog orders, following up on payments, promoting e-commerce and accessory sales, and managing high volumes of customer communication. The role also supports the sales and service teams by generating reports, resolving complaints, maintaining customer records, and driving process improvements across order execution.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Manage and coordinate customer and distributor order processing, ensuring accuracy and timely execution.
  • Create and maintain customer and part records within the ERP system.
  • Prepare and issue sales and service quotations using ERP tools.
  • Coordinate shipments for INR orders and track production schedules to ensure delivery time.
  • Collaborate with the Business Unit and Service Manager for inventory planning and ordering.
  • Maintain and update order tracking systems, including online and offline sheets for dispatch and shipment status.
  • Schedule installations by coordinating with customers and the service team.
  • Follow up on customer payments for instruments, service, and orders.
  • Promote e-commerce purchases and drive sales of spares and accessories directly with customers.
  • Support sales and service teams with reporting, issue resolution, and continuous process improvement initiatives.

 

QUALIFICATIONS: 

  • Bachelor’s degree in Business, Supply Chain, or related field.
  • Minimum 5 years of experience in order processing, sales operations, or customer service.
  • Proficiency in ERP systems and Microsoft Office.
  • Strong organizational, communication, and problem-solving skills.
  • Experience working with cross-functional and international teams is a plus.
