Job Summary
The Benefits Operations Specialist plays a critical role in supporting the administration, execution, and continuous improvement of employee benefits programs. This position serves as a key operational partner to Corporate Benefits, HR, Payroll, vendors, and employees to ensure the accurate delivery of health, welfare, retirement, and wellbeing programs for our U.S. population.
The ideal candidate combines strong analytical capabilities with exceptional attention to detail and a passion for delivering high-quality employee experiences. This role requires expertise in benefits administration, HR systems, vendor management, data governance, compliance, and operational excellence in a fast-paced global environment.
Key Responsibilities
Benefits Administration & Operations
- Administer employee benefit programs including medical, prescription drug, dental, vision, life insurance, disability, retirement, spending accounts, and wellness programs.
- Support ongoing benefits administration processes by reviewing transactions, performing eligibility audits, researching exceptions, and coordinating issue resolution with internal stakeholders and external vendors.
- Support annual Open Enrollment activities, including system testing, data validation, audit reporting, and issue resolution.
- Perform routine audits and quality reviews to ensure the accuracy of benefit-related transactions, employee records, and vendor eligibility data.
- Monitor data quality and support the integrity of employee benefit information across HRIS, payroll, and vendor systems through ongoing reviews, reconciliations, and exception reporting.
Systems, Data Management & Integrations
- Act as a subject matter expert for benefits administration systems and related technology platforms.
- Support ongoing benefits system configurations, testing, and file feeds with third-party vendors.
- Review and reconcile eligibility, enrollment, payroll deduction, and carrier files.
- Analyze benefits data to identify discrepancies, trends, and improvement opportunities.
- Partner with HRIS and Payroll teams to investigate and resolve data transmission issues.
Vendor & Partner Management
- Serve as a primary operational contact for benefits vendors and external service providers.
- Coordinate issue resolution and escalation management with carriers, administrators, consultants, and technology partners.
- Participate in vendor performance reviews and assist in managing service-level expectations.
- Support implementation of new vendors, acquisitions, benefit programs, and system enhancements.
Employee & HR Support
- Respond to employee and HR inquiries regarding benefit programs, eligibility, claims, and enrollment issues.
- Research and resolve complex benefits issues while providing a high level of customer service.
- Develop and maintain employee-facing resources, FAQs, and process documentation.
- Deliver support for benefit communications and employee education initiatives.
Compliance & Governance
- Support compliance activities related to benefits regulations and company policies.
- Assist with audits, reporting, data validations, and regulatory requirements.
- Maintain strict confidentiality and ensure appropriate handling of sensitive employee information.
- Support documentation and retention of benefit plan and operational records.
Process Improvement & Project Support
- Drive continuous improvement initiatives to increase efficiency, accuracy, and employee satisfaction.
- Develop and maintain standard operating procedures (SOPs), process maps, and knowledge documentation.
- Participate in benefit implementation projects, acquisitions, system upgrades, and operational integrations.
- Utilize data and metrics to identify opportunities for automation and process optimization.
Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, Finance, Information Systems, or a related field.
- 5+ years of experience in U.S. Benefits Administration, HR Operations, HR Shared Services, or related functions.
- Experience working with HRIS platforms and benefits administration systems.
- Strong analytical, problem-solving, and data management skills.
- Advanced proficiency in Microsoft Excel and reporting tools.
- Excellent English written and verbal communication skills.
- Ability to manage multiple priorities in a deadline-driven environment.
- Demonstrated ability and willingness to use AI tools to improve productivity, decision-making, work quality, and to reduce costs. The successful candidate must be able to identify appropriate AI use cases and critically evaluate AI-generated outputs.
Preferred Qualifications
- Experience supporting U.S. employee benefits programs.
- Experience working with global organizations and multi-country benefits administration.
- Knowledge of U.S. benefits compliance requirements and operational controls.
- Experience managing vendor relationships and service delivery.
- Exposure to acquisitions, integrations, or large-scale HR projects.
- Experience with ADP, Businessolver, Fidelity or similar HR technology platforms.
